Summary The Town of Nags Head has a fantastic opportunity for an Administrative Specialist to support our Police Department! Great customer service will be essential as this role interacts daily with our local community members, as well as our internal Police staff.
Responsibilities Answers telephone and greets visitors; directs calls or visitors and gives program and department information based on type of request; selects appropriate materials to answer questions and provide assistance.
Assists the public with understanding departmental and Town policies and procedures or laws as they relate to the services being provided by the department, explains reasons for denying a request; refers to others who may make exceptions; takes complaints, may refer to others for resolution.
Compiles reports from program and service activity data requiring limited research; creates records by posting general program activity on established forms, files, computer databases, spreadsheets, etc.
Maintains and completes a variety of records and reports for the department.
This may include personnel records, records for accounting, activity logs, monthly financial reports and reconciliations; may accept payments, provide receipts, post payment transactions and prepare deposits.
Maintains social media presence for the department by creating and designing social media posts, using photos, creating written content of message and coordinating with Town’s public information officer for consistence or messaging.
Responds to informational questions submitted on-line or through social media; may update the department’s webpage.
Serve as Assistant Terminal Agency Coordinator and monitor and maintain DCI information; change passwords, sends and responds to DCI messages and administers tests.
Makes travel arrangements for officers attending training and processes pre-authorization travel expense reports.
Assists with receiving, storing, maintaining and disposing of evidence; prepares evidence for auction; audits evidence room and maintains records in accordance with state and federal laws; prepares disposition forms for the District Attorney.
Provides Notary Services for department Performs related duties as required.
Requirements Graduation from high school supplemented by business courses and some administrative or office support experience including customer service and use of MS Office tools; or an equivalent combination of education and experience.
Must pass a background check, including SBI fingerprinting.
Must obtain Division of Criminal Investigation certification, within 6 months of employment.
Must obtain Notary certification, within 6 months of employment.
Must obtain the NC Association of Property Evidence and Certification, within 12 months of employment.
Qualifications Considerable knowledge of business English, mathematics, and legal formats and terms.
Considerable knowledge of modern office procedures and related office information technology equipment, software, and peripherals.
Working knowledge of laws, regulations, and Town procedures and practices related to area of assignment and of the organization’s personnel and purchasing procedures.
Skill in the use of information technology equipment and associated software products such as word processing, spreadsheets and data bases used in area of work assignment.
Knowledge and skill in the operation of social media accounts such as Facebook, Instagram, and Twitter Ability to work independently on responsible administrative support tasks, some of which may be confidential or sensitive; ability to independently prepare meeting agendas and confidential correspondence.
Skill in internal and external customer service excellence and teamwork.
Ability to keep fiscal and statistical records, ledgers, and files and provide information correctly and concisely, both orally and in writing.
Ability to type, transcribe, and take dictation, if the job requires it, at the required speed and skill.
Ability to schedule appointments and meetings and establish schedules based on specific oral or written instructions.
Ability to communicate effectively in oral and written form in person and by telephone.
Ability to be tactful and courteous while conducting the Town’s business.
Ability to establish and maintain effective working relationships with supervisors, coworkers, and the general public.
Physical Requirements Must be able to physically perform the basic life operational functions of stooping, kneeling, reaching, standing, walking, pushing, pulling, lifting, fingering, talking, hearing and repetitive motions.
Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
Must possess the visual acuity to prepare figures and data, do accounting work, operate a computer, read extensively, and proof work performed.
